Stay on Top of Your Directory Performance — Without Logging In

How the Email Reports feature in SFR Directory Analytics Pro keeps you informed, automatically

Running a directory website means juggling a lot. Between managing listings, responding to enquiries, and keeping content fresh, it’s easy to lose sight of what’s actually happening with your traffic. And if you’re a developer or agency managing directories for clients, keeping everyone informed can be yet another task on the list.

That’s exactly why we built Email Reports into SFR Directory Analytics Pro — so you, your team, and your clients can stay informed about directory performance without anyone having to remember to check a dashboard.

What Are Email Reports?

Email Reports is a Pro feature that automatically sends a professionally formatted analytics digest on a schedule you choose — weekly or monthly. The plugin does the rest.

You can send reports to multiple recipients, so it’s not just for you. Developers and agency owners can add client email addresses, team members, marketing colleagues, or anyone else who needs to stay in the loop — all without giving them WordPress admin access. Just add their email addresses in the settings, separated by commas, and everyone gets the same clear, at-a-glance snapshot of how the directory is performing.

What’s Inside Each Report?

Every email digest includes:

Headline Stats

Right at the top, you’ll see summary cards showing:

Total Listing Views — with breakdowns for Today, Last 7 Days, and Last 30 Days

Listings Tracked — how many listings are being monitored, plus average views per listing

Total Category Views — the same Today / 7 Day / 30 Day breakdown for categories

Trend Comparisons

This is where it gets really useful. For both listing views and category views, the email shows you how the numbers compare to the previous period:

vs Previous 7 Days — perfect for spotting short-term shifts in traffic

vs Previous 30 Days — ideal for understanding broader trends

You’ll see the exact change in views plus the percentage, so you know at a glance whether things are heading in the right direction. For example:

up 42 views (12.5%) vs previous 7 days up 156 views (8.3%) vs previous 30 days

Top 10 Listings

A ranked table of your most-viewed listings, showing view counts across four time periods: Today, 7 Days, 30 Days, and All Time. Each listing includes a direct link so you can click through straight from the email.

Top 10 Categories

The same ranked breakdown for categories — helping you understand which areas of your directory are attracting the most attention.

Why This Matters

1. Spot Problems Early

If a popular listing suddenly stops getting views, or traffic to a key category drops off, you’ll know about it in your next digest rather than discovering it weeks later.

2. Track Growth Without the Dashboard

Not everyone has time to log into WordPress every day. Email reports bring the most important numbers to you, so you can keep a pulse on performance from your phone, tablet, or wherever you check email.

3. Send Directly to Clients and Team Members

Because you can add multiple recipient email addresses, developers and agencies can send reports straight to their clients — automatically, every week or month. There’s no need for clients to log into WordPress or understand a dashboard. They just receive a clean, professional email showing exactly how their directory is performing.

It works just as well for internal teams. Add your content manager, marketing lead, or business partner, and everyone stays aligned without extra meetings or manual updates. You can even save the email as a PDF for easy sharing or archiving.

4. Make Better Decisions

When you can see which listings and categories are trending up or down, you’re in a much better position to decide where to focus your efforts — whether that’s creating more content in a popular category, promoting underperforming listings, or adjusting your site’s structure.

5. Demonstrate Value to Clients

If you’re a developer or agency managing directory websites for clients, automated email reports are one of the simplest ways to demonstrate ongoing value. Clients see real numbers landing in their inbox every week or month — proof that their directory is active and growing — without you having to prepare a thing.

How to Set It Up

Getting started takes about 30 seconds:

  1. Go to Directory Analytics > Settings in your WordPress admin
  2. Scroll to the Email Reports section
  3. Enable email reports
  4. Choose your frequency — Weekly or Monthly
  5. Add your recipient email addresses — your own, your clients’, your team’s — separated by commas
  6. Click Save Settings

That’s it. You can also send yourself a test email straight away to preview exactly what the digest looks like before the first scheduled one goes out. It’s a great way to check the format before adding client email addresses.
